How data transparency and modern collaboration are key for monitoring daily progress reports (DPR).

How data transparency and modern collaboration are key for monitoring daily progress reports (DPR)

Daily Progress Report, better known as DPR, is used for progress monitoring and reporting to stakeholders. However, the reports have to be based on valid data to increase project efficiency. For Shoreline Wind, easy collaboration, data transparency, and version control are business-critical elements in progress reporting.

The industry standard as foundation – But customisable reporting framework for flexibility

The key objective for a daily progress report process is to everyone involved and informed. As complex O&M and construction projects include multiple stakeholders, including subcontractors, investors, project planners, and more, the DPR ensures that detailed daily information is delivered to these stakeholders without visiting wind farms or making direct contact with on-site personnel.

For construction and O&M in the wind industry, DPRs are often based on a template that complies with the industry standards. However, since the offshore wind industry is growing at a faster pace than ever and the projects involved are becoming more complex and cost-efficiency-driven, a fast, flexible, and intelligent approach for performing daily progress reports is required. Each project simply has its own specific need. Today’s tool for daily progress reporting must do more than just controlling progress – it has to enable companies to manage progress. Weather conditions, delivery issues, or other obstacles may cause delays or downtime that must be taken into account. Data on adverse weather conditions can provide insights into how to mitigate such issues for creating a stronger business case, as it becomes easier to get an overview of the financial impact of weather downtime and delays.

Therefore, standard industry templates can quickly become irrelevant, as the framework for DPR needs to be highly adaptable and dynamic based on its circumstances and technology. This framework is also a foundational thought of Shoreline Wind’s Execution™ solutions, as its DPR module is fully customisable for country-specific and project-specific needs.

All data gathered used for creating DRPs can used in combination with Shoreline Wind’s simulation engine. For deep-diving further into our simulation tool, you can read our take on how agent-based simulation should be used in wind projects.

How is a modern DPR function different from traditional progress reporting methods?

The difference between a new digital approach and atraditional manual approach lies in the automation and its integration.

Today, daily progress reporting cannot be perceived as a single task or tool. As project complexity increases, data required to create a progress report to relevant stakeholders also increases accordingly. Far too often, we have encountered wind farm technicians, site managers or projects planners in large international enterprises who still try to manage all data reporting in manual and abstract Excel spreadsheets – this does not support the need for data to speak seamlessly with multiple systems.

By unifying processes and automatically bringing in data from multiple disciplines, you will get much more comprehensive insights allowing you to speed up routine tasks, reduce errors and remove bottlenecks in your daily operation. All to get your projects and operations to run more efficiently.

Another critical function for managing and generating DPR data, is in the aspect of data security.

The data reported in the DPR is crucial for claims management, payment schedules and financial markets, hence the information has to be kept in a system with enterprise-grade cybersecurity. Incorporating advanced data sharing for business-critical information needs to be managed in an enterprise cloud application, that is based on a strong data architecture for complete governance and compliance.

For learning more about Shoreline Wind’s Enterprise cloud platform, you can read here on how it brings all data together.

The key for intelligent DPR’s performance is modern collaboration and a user-centric interface

By using a platform such as Shoreline Wind’s Execution, all data on assets, equipment, personnel, activities and adverse events are gathered into a single centralised cockpit. Clients, colleagues, and management can instantly start sharing and documenting their findings, creating a high level of data transparency with rigorous version control.

Shoreline Wind has collaborated with a variety of offshore wind clients, including OEMs, project developers, and contractors on DPRs. A clear tendency is that the report interface must be designed with the site managers’ and supervisors’ needs in mind. Especially the processes for creating and approving DPRs need to be as user-friendly and automated as possible.

In close dialogue with the users, Shoreline Wind has designed a process to generate daily progress reports in just a few clicks to support their digital transformation. Replacing old and tedious processes of manually compiling, sending, printing, signing, scanning, and uploading daily reports, a streamlined process start with automatically generating reports based on gathered data, distributing reports with a digital review and approval flow, and rigid version control. Also, sharing the actual DPR data between stakeholders removes the amount of number punching and manual data handling.

As the demands for working faster, less costly, and accurately, software platforms for monitoring DPRs must also evolve. An increase in complex project scenarios such as floating turbine maintenance will bring an equally increased demand in how we document and share DPRs, especially on the validation of the gathered data.
